Over the course of campaign work, it is possible that a duplicative organization may have been entered into Organizer’s Toolbox and that some clean up is necessary to remove one of the duplicative organizations.
For example, there are two versions of Mercy General Hospital: one spelled correctly and the other spelled incorrectly.
There are two scenarios possible: one is that the incorrectly spelled organization has no information attached to it and therefore can be deleted and the other is that the duplicative organization does not have information (person records for example) attached to it, and therefore will need to be merged into the correctly spelled Mercy General Hospital.
To begin, go into the Organizations Module. To simply delete an organization, select the trash can found directly above the Find button:
The next window that will come up will allow you to choose to delete or merge the organization. In this first scenario we want to delete the organization so will leave the first option selected.
Once you hit OK, you’ll be prompted to enter your Administrator username and password
After entering that information, hit OK and the organization will be deleted from your database.
Now, in the second scenario, imagine that the organization has information (person records, job classes, location, etc) attached to it, so instead of deleting it you need to merge it into another organization.
You begin the same way, starting in the Organization’s Module and selecting the trash can button, found directly above the Find button.
To merge the organization, choose the second option
You’ll want to select the red radio button to enter the name of the organization that you want to merge the duplicative one into (in this case, you want to merge Mercy Geneal Hospital into Mercy General Hospital)
Enter the name of the organization and select the Find button to search the database for its match
Once you select the organization, you’ll be given this message, reminding you that all information associated with the first organization is now going to be associated with the selected one
Again, at this point you will be prompted to enter your Administrator username and password
Once you’ve hit OK, the organizations will be merged together, and you will be left with only one version of Mercy General Hospital
