Custom Labeling Reports for Organization Favorites
PRINTThe Reports and Extract interface of Organizer’s Toolbox has been reworked to allow OT Admins to custom label (or “alias”) Organization Favorite reports and give brief descriptions of each report for their Toolbox users.
The idea is to make it easier for OT users to easily find frequently-used reports by allowing OT Admins to label Organization Favorites with names meaningful to the users. For example, if campaign leaders decide that using person list 021 is what all Organizers should use when going into the field the OT Admin would just add Person List 021 to Organization Favorites and then label it something like “Organizer Turf List”. Then whenever organizers needs to run new lists of their turf they just select that report from the Favorites folder rather than having to search for it from among the 500+ reports.
After opening Reports & Extracts select a report that you’d like to relabel. In this example I’m going to relabel Person List 021. After you’ve highlighted the report look to the bottom of the window and you’ll see two icons. If you hover over the left icon a “hint” will display “Add to Shared Favorites”.
After clicking the Add to shared Favorites icon the button “Name Report” will appear above the description.
When you click the button a new window will appear that will allow you to label the report and give a brief description.
After relabeling the report click OK and you’ll see the relabeled report and description show up in the report list.
This report will now show up in the Favorites section of Reports & Extracts.
Now whenever an organizer needs to run a specific report he or she needs only to find it in the favorites list.
Please note that while only Toolbox Administrators have the permissions necessary to “alias” reports, regular Toolbox users can still add reports to Personal Favorites, they just cannot relabel a report.
A Personal Favorite is distinguished from an Organizational Favorite by the number of stars on the icon; 1 star is a Personal Favorite and 2 stats is an Organization Favorite. Only Organization Favorites can be relabeled.
