Converting you file to MS Access to import to Toolbox

In order to use the Import Tool to import new data or update existing data in the Toolbox, the data must be in a Microsoft Access file.  We’ve found that most users receive data files in MS Excel, so it’s easy to get Excel files converted to Access files.  (Note: for users new to Access, we recommend having your column correctly labeled in Excel prior to converting the file to Access.  For advanced users, you can rename fields once you’ve converted the file to Access).

First, create a new Access file in the folder where your source data resides.  Once you’ve created the new file, right click the Object “tables” and then select “Import” from the list (figure 1).

A new dialog box will appear allowing you to browse to the folder where your excel file resides.  Browse to that folder.  You’ll need to change the file type so that access can “see” your Excel file.  to do so, click the File-Type drop-down menu at the bottom of the window and select “Microsoft Excel (*.xls) (Figure 2).  (Note: if your source file is something other than Excel you can also select it from this list.)

Select your source file and click the “import” button.  A new dialog box will appear (Figure 3).  Click the “next” button.”

Next, check the box “First Row Contains Column Headings,” and click the finish button (Figure 3).

You’ll now see your import file as a table in Access.
